Privacy Policy

Kridence is a school management platform operated by SAULTECH, a company registered in Nigeria ("SAULTECH", "we", "us"). This policy explains what personal data we handle when you use kridence.com, the Kridence app (app.kridence.com and school subdomains), and related services, and the choices and rights you have. It is written to meet the Nigeria Data Protection Act 2023 (NDPA) and, where they apply, other data protection laws such as Ghana's Data Protection Act 2012 and the EU/UK GDPR.
1. Who is responsible for your data
Schools control their own records. When a school uses Kridence, the school decides what information about its students, guardians, and staff goes into the platform and how it is used. For that data the school is the data controller and SAULTECH is a data processor acting on the school's instructions. If you are a student, parent or guardian, or staff member, please contact your school first about your records — we will help the school respond.
We control a smaller set of data directly: information about school administrators who create and manage Kridence accounts, subscription and billing records, demo requests and messages sent to us, and data about visits to kridence.com. For these SAULTECH is the data controller.
2. What we collect
- Account information. Names, email addresses, phone numbers, roles, and sign-in details (passwords are stored only as one-way hashes). If you choose "Sign in with Google", we receive your name and verified email address from Google.
- School records entered by schools. Depending on the modules a school uses: student and guardian details, admissions applications, class and attendance records, grades, report cards and assessments, fees and payment records, timetables, library, hostel, clinic and conduct records, staff HR and payroll information, messages and notices, uploaded files and photos, and online-learning activity.
- Location for check-in. If a school turns on location-based attendance, the device location is captured at the moment a staff member or student checks in, to confirm they are on campus. It is not tracked continuously.
- Billing information. Subscription plan, invoices, and payment status. Card and mobile-money details are entered directly with our payment providers; we do not receive or store full card numbers.
- Demo requests and enquiries. The details you submit through our forms or by email — such as your name, email, phone, school, role, country, and message.
- Technical data. IP address, browser and device type, and request logs created when you use our services, which we use for security and troubleshooting.
3. How we use it and our legal bases
- To provide the service a school has subscribed to, on the school's instructions (performance of our contract with the school).
- To manage accounts, billing, and support (performance of contract).
- To keep the platform secure — preventing fraud and abuse, enforcing our Terms, and investigating incidents (legitimate interests and legal obligation).
- To respond to demo requests and enquiries (your request, and our legitimate interest in answering it).
- To send service emails and notifications such as password resets, invoices, and alerts a school has enabled. We do not sell personal data or use school records for advertising.
- To meet legal obligations such as tax and accounting record-keeping.
Schools are responsible for having a lawful basis for the student, guardian, and staff data they put into Kridence — including any consent required from parents or guardians for children's data.
4. AI features
Some optional features use artificial intelligence — for example drafting report-card comments, generating exam questions, class analytics, and the student study assistant. When these are used, the relevant content (such as a student's grades or a syllabus excerpt) is sent to our AI provider, Anthropic, to produce a response. Our provider processes it to deliver the feature and does not use it to train its models under our agreement. AI output is a draft: teachers and staff should review it before relying on it.
5. Who we share data with
We share personal data only with service providers that help us run Kridence, under contracts that require them to protect it and use it only for that purpose:
- Hosting and infrastructure: Cloudflare (website, app delivery, and network security), Render (application servers), and Oracle Cloud (database hosting).
- File storage: Cloudinary (uploaded documents, photos, and course media).
- Email: Resend (account and notification emails).
- Payments: Flutterwave, Paystack, and Paddle (subscription and school-fee payments).
- Live classes: Daily (real-time video for online lessons).
- AI features: Anthropic.
- Sign-in: Google, if you choose "Sign in with Google".
- Push notifications: your browser's push service (for example Google or Apple), if you allow notifications.
- SMS: if and when a school enables text messages, an SMS provider will deliver them.
We may also disclose data if required by law or a valid order of a court or regulator, to protect the rights and safety of users or others, or as part of a merger or acquisition, in which case the data stays protected by this policy. Within a school, what each person can see is controlled by the roles and permissions the school configures.
6. International transfers
Our servers and several of our providers are located outside Nigeria, including in the United States and the European Union. When personal data is transferred abroad, we rely on safeguards recognised under the NDPA and other applicable laws, such as contractual protections with our providers.
7. How long we keep data
We keep school records for as long as the school's subscription is active. After a subscription ends, a school can ask us to export or delete its data; we delete it within 90 days of a written request, except where we must keep certain records (such as invoices) by law, and except for routine backups, which are overwritten on their normal cycle. Demo requests are kept for up to 24 months unless you ask us to delete them sooner. Security logs are kept for a limited period.
8. How we protect data
We use measures including HTTPS encryption between your browser and our services, hashed passwords, encryption of stored database credentials, optional two-factor authentication, role-based access controls, and logical separation of each school's data. No system is perfectly secure; if a breach affects your data, we will notify the affected school and the relevant authority as required by law.
9. Your rights
Subject to the law that applies to you, you have the right to access your personal data, correct it, ask for it to be deleted, restrict or object to certain processing, receive a copy in a portable format, and withdraw consent where processing is based on consent. For data held by your school, please contact the school; for data we control, email privacy@kridence.com. We respond within the time limits set by law. You can also complain to the Nigeria Data Protection Commission (NDPC) or your local data protection authority.
10. Children
Kridence is used by schools, so it contains information about children. That information is provided and managed by the school, not collected from children for our own purposes. Students may use their own portal accounts where their school provides them. We do not use children's data for advertising or profiling.
11. Cookies and local storage
We do not use advertising or analytics trackers. Our website and app use your browser's local storage for essentials — keeping you signed in, and remembering preferences such as language, currency, theme, and sidebar layout. If you use "Sign in with Google", Google may set its own cookies under its privacy policy.
12. Changes to this policy
We may update this policy as our services change. We will post the new version here with a new "last updated" date and, for significant changes, notify school administrators by email or in the app.
